How do we process your data?

 

We process your personal data as a consumer of our services, such as when you visit our website and leave information. We do this to assist you as effectively as possible and to achieve our goals.

In this privacy statement, we explain why and how we process personal data. This privacy statement applies to all our processing related to you as a visitor to our website, recipient of our newsletter, or attendee of our events and our office in Arnhem.

Data controller

We are the data controller and located at Nieuwe Stationsstraat 10 (6811 KS), in Arnhem. We have not appointed a Data Protection Officer (DPO), but we do have a Privacy Officer who oversees compliance with the requirements of privacy legislation.

What personal data do we process

We may process the following personal data: first and last name, telephone number, email address, visual materials (including photos and videos), dietary and allergy information, job interests, personal data that you actively provide, for example through your CV (such as gender, address, and place of residence, passport photo), personal data that you actively provide in a comments field, data about your activity regarding our newsletters.

Special categories of personal data

In certain cases, we process special categories of personal data, specifically:

  • When you submit your CV via our website. Your passport photo is then considered a special category of personal data.
  • When you provide your dietary or allergy information during registration for an event.
  • When you actively provide us with other special categories of personal data, for example, through a comment field, in your CV, or in your cover letter.

We strongly advise you never to send us special categories of personal data if they are not necessary for our processing purposes.

Personal data of minors

We explicitly do not intend to collect data about website visitors who are under 16 years old, unless they have permission from parents or guardians. However, we cannot verify whether a visitor is over 16. We therefore encourage parents to be involved in their children's online activities, in order to prevent the collection of data about children without parental consent. If you believe that we have collected personal data about a minor without such consent, please contact us at privacy@avisi.nl, and we will delete this information.

Why do we process personal data?

Delivering products or services Through our website, it is possible to purchase products or services. We then process your personal data in order to deliver the product or service to you.

Providing training If you book a training through our website, we process your personal data to register you for the training.

Providing consultation or intake meetings If you request a consultation or an intake meeting via our website, we process your personal data to be able to offer and coordinate the consultation or meeting with you.

Conducting the application process / building a talent pool It is possible to respond to a job vacancy via our website, where you can send a CV and cover letter. In that case, we process your personal data to carry out the application process. If you give permission, we keep your data longer to build a talent pool and to contact you at a later time, for example, when we have a suitable vacancy for you.

Sending newsletters If you receive our newsletter, we process your personal data to be able to send you the newsletter. You can unsubscribe from each newsletter via an opt-out option.

Organizing events If you attend one of our events, we process your personal data to register you for the event and to take into account any dietary or allergy requirements you may have.

Visual materials During events and meetings, we may create visual materials – including photos and videos – that show attendees. We process this visual material to enhance our content, report on our events and meetings, and for archival purposes. These processes are always voluntary and are not used for other purposes. Contact maintenance If you have contacted us via our website, for one of the reasons mentioned above or because you have requested a job alert, we additionally process your personal data to maintain contact with you. For example, we might contact you by email or phone.

Improving our services To improve our services, we process personal data to measure the use of our newsletters and evaluate whether they are interesting and relevant. We also track click behavior on our website to analyze which pages and articles are most read, but we do this completely anonymously.

Automated decision-making and profiling

We do not use automated decision-making and/or profiling.

Rights of data subjects

Under the General Data Protection Regulation (GDPR), you have the following rights in certain cases as a data subject. If you want to exercise any of these rights, please contact us at privacy@avisi.nl. We will respond to your request as soon as possible, but within four weeks at the latest.

Information and Access You can view which personal data we process about you.

Rectification You can have personal data that we hold about you corrected if it is inaccurate.

Erasure You can request the deletion of your personal data that we hold. It is possible that we may still need to process the data for other purposes (such as administration or deduplication).

Restriction If you believe that we are processing your personal data unlawfully or inaccurately, you can request that this processing be restricted.

Objection You can object to the processing of your personal data. We will then stop the processing immediately unless there are compelling legitimate grounds for Avisi not to immediately cease the processing. In that case, we will contact you as soon as possible.

Data Portability You can request that personal data that we process about you on the basis of consent or a contract be transferred in an easily readable format.

Withdrawal of Consent You can withdraw your consent to a specific processing of personal data, such as for a newsletter.

Lodge a Complaint with the Data Protection Authority If you believe that we are not acting in accordance with the GDPR, we would like to hear from you. You can also lodge a complaint with the Data Protection Authority (DPA).

Retention periods

We do not retain personal data longer than necessary for the purposes for which we process personal data. If you would like to know how long we retain a particular personal data and for what purpose, please contact us at privacy@avisi.nl.

Legal bases for processing

We process personal data for the purposes explained above. We do this on the basis of the following legal grounds:

  • Performance or preparation of a contract (delivery of a product or service, provision of training, provision of consultation or intake meeting, execution of the application process, organization of events, maintenance of contact)

  • Consent (marketing activities, talent pool).

  • Legitimate interest (direct marketing to customers, visitor registration, event reporting)

Processors and third-party recipients

Within Avisi, customer data is shared among its group companies. Your personal data may be shared as part of the customer data. The customer data is only shared with the group companies with the purpose of being able to contact the customer, while respecting the applicable laws and regulations (including the GDPR). For the execution of our services, we also engage external service providers. These are processors who process personal data on behalf of Avisi.

  • Hubspot Avisi uses Hubspot for hosting our website and forms. You can read what they do with the information in Hubspot's privacy statement.

  • Google Avisi uses Google for storing visual materials.

This is done only to fulfill our agreement with you, to pursue our legitimate interests, or if we have obtained your consent. These parties process personal data in accordance with Avisi's instructions. Finally, a legal obligation may be a reason to provide personal data to third parties.

On our website, we use functional cookies to ensure the website operates correctly. We also use analytical cookies to analyze the usage of our website. You can read more about this on this page.

Social Media

To enhance our content and to report on our events and meetings, we use social media such as Facebook, Twitter, LinkedIn, and Instagram. For this purpose, we may post visual material of event attendees, speakers, and other individuals on our social media pages. Please let us know at privacy@avisi.nl if you would prefer that we do not post visual material of you on social media. The use of visual material by social media is subject to the privacy statement of the respective social media platform.
